Reliable compliance reporting starts with reliable data. Before any lab result is used in a DMR calculation, trend analysis, or regulatory submission, it must be validated. Water quality software automates data validation by applying a battery of QA/QC checks the moment data is imported — catching errors, flagging anomalies, and ensuring only defensible results reach your compliance reports.
Validation Checks Performed Automatically
Permit Limit Comparison
Every result is compared against the applicable effluent limit for that outfall and parameter. The software identifies exceedances of daily maximums, monthly averages, and instantaneous limits, flagging them immediately so reviewers can investigate and initiate corrective actions before the reporting deadline.
Cation/Anion Balance
For samples with a full suite of major ions (calcium, magnesium, sodium, potassium, bicarbonate, sulfate, chloride, nitrate), the software calculates the cation/anion balance. A difference greater than 5–10% indicates potential analytical error, missing parameters, or sample contamination. This check catches problems that might not be visible when reviewing individual parameter results.
Holding Time Verification
Each analytical method has a regulatory maximum holding time — the allowed interval between sample collection and laboratory analysis. The software compares the sample collection date to the analysis date and flags any parameter where the holding time has been exceeded. Results analyzed past holding time may be unreliable and may need to be qualified or re-sampled.
Statistical Outlier Detection
The software compares each result to historical data for the same monitoring location and parameter. Values that fall outside expected ranges based on statistical analysis (e.g., more than three standard deviations from the running mean) are flagged as potential outliers for manual review.
Detection Limit Flagging
Results are checked against MDL, PQL, and reporting limits. The software flags samples where the reporting limit exceeds the permit limit (meaning the lab cannot confirm compliance), identifies non-detect results that need special handling in calculations, and tracks laboratory qualifiers (U, J, B, E flags).
Duplicate Precision & Blank Contamination
For samples with field or laboratory duplicates, the software calculates relative percent difference (RPD) and flags pairs that exceed acceptable precision thresholds. Trip blanks and equipment blanks are checked for contamination that could affect sample integrity.
The Data Review Workflow
Validation is not just about running checks — it is about providing a structured workflow for data reviewers to act on the results:
- Import — EDD files are imported and validation checks run automatically
- Review — Flagged results are presented in a review queue with the specific validation issue identified
- Disposition — Reviewers can accept with justification, reject, request re-analysis, or qualify the result
- Approve — Validated and dispositioned data is approved for use in reports and DMR calculations
- Audit trail — Every review decision is logged with the reviewer, timestamp, and justification
